For many Quality Managers, manual workarounds are part of everyday life.

Test results arrive by email.
Spreadsheets are updated “temporarily.”

None of this feels risky in isolation. But across food and feed operations, recall risk rarely comes from a single failed test. It builds quietly over time through fragmented data, manual handoffs, and disconnected systems.

Manual workarounds are a symptom, not the root cause

Most Quality Managers don’t rely on spreadsheets and email because they prefer them. They do it because laboratory systems, QA records, supplier data, and certification evidence often live in separate tools.

Auditors don’t just ask whether a test result passed. They ask how it was reviewed, how it links to risk assessment, and how it supports certification decisions. When answers depend on manual reconstruction, confidence drops quickly.

In multi-site audits, this often leads to extended audit time, not because controls are missing, but because evidence takes too long to assemble and explain.

Scaling makes the risk worse

What works for one site or one lab rarely scales.

As organisations grow, operate across multiple sites, or manage multiple certifications, manual workarounds stop being helpful shortcuts and start becoming systemic risk multipliers. At scale, they obscure insight instead of enabling it.

This is not about doing more testing

When data gaps appear, teams often respond by increasing testing frequency or adding more checks. But more testing does not fix disconnected systems.

The issue is not the number of results, it’s how results connect to decisions, audits, and market access.

In many recall reviews and near-miss analyses, teams find that the data existed. What was missing was a clear, connected view of what that data meant at the time decisions were made.
