Position Overview:

We are seeking a detail-oriented Contracts Administrator to join the FoodChain ID Legal team. The Contracts Administrator will play a crucial role in supporting the Legal team in handling all aspects of contract administration, ensuring compliance with legal and regulatory requirements, and facilitating smooth communication between FCID and our clients.

Responsibilities:

  • Contract Administration: In coordination with Legal, support aspects of the contract lifecycle, including reviewing, negotiating, and filing various contracts with clients, vendors, and partners. Key focus area will be on client contracts, renewals, and amendments.
  • Compliance Assurance: In coordination with Legal, support with NDA finalization and execution.
  • Support Vendor onboarding: In coordination with Legal, collaborate with internal stakeholders and external parties to negotiate equitable terms and conditions that align with the company’s objectives and risk profile.
  • Document Administration: In coordination with Legal, maintain accurate and organized contract documentation, including version control, tracking key dates, and administering contract repositories. Additionally, handling intake of legal support requests from internal clients across the company.
  • Client Communication: In coordination with Legal, assisting with contract-related inquiries from internal clients , providing timely responses and clarification on contractual matters.
  • Contract Renewals and Amendments: In coordination with Legal and Operations team, proactively handle contract renewals and amendments, ensuring all parties are informed and agreements (and associated timelines) are updated as necessary.
  • Cross-functional Collaboration: In coordination with Legal, collaborate with various internal departments, including sales, finance, and operations, to ensure alignment on contract terms, services/deliverables, and obligations.
  • Continuous Improvement: Identify opportunities to streamline and automate the various contracting processes, improve efficiency, and enhance contract management tools and agreement templates.

Qualifications:

  • Preferred: Bachelor’s degree in business administration, legal studies, project managements, or related field (e.g., paralegal programs).
  • Proven experience (1+ years) in contract management/administration, preferably in the software consulting or technology industry.
  • Knowledge of contract law, legal terminology, and contracting best practices.
  • Excellent communication and interpersonal skills, with the ability to effectively collaborate with internal and external stakeholders. Being a clear communicator with internal and external clients is key.
  • Proficiency in Microsoft Office Suite.
  • Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
